Lesson 1: How attention-to-detail tests work
Many employers test attention to detail when they hire for office, warehouse, security, retail, finance and data-entry jobs. A checking test shows you information and asks you to find what is different, wrong or missing. The maths is simple. The challenge is being accurate under a time limit.
The Government of Canada's Skills for Success model describes skills that checking tests draw on. Reading includes locating key information in documents such as tables, charts and maps. Writing includes proofreading and revising your writing for accuracy, meaning and tone.
Common question types
- Same or different: compare two entries and decide if they match exactly.
- Source and copy: compare a copy with the original and find the field or row that is wrong.
- Count the differences: say how many characters, fields or rows do not match.
- Find the error: spot the mistake in an invoice, schedule, address label or notice.
- Check against a rule: a format (such as a postal code), an order (such as A to Z) or a total.
Every employer's test is different, so read your invitation and the instructions carefully.
The four main error types
| Error type | What happens | Source → copy |
|---|---|---|
| Transposition | Two characters next to each other swap places | 5813 → 5831 |
| Omission | A character is left out | 40712 → 4072 |
| Duplication | A character is typed twice | 2026-04-18 → 2026-04-188 |
| Substitution | One character is replaced by another | Brown → Browm |
Watch for two special cases. A day-month swap turns 2026-07-09 (July 9) into 2026-09-07 (September 7). A missing decimal point turns 7.5 hours into 75 hours.
Look-alike characters
- 0 (zero) and O (capital o); Q and O
- 1 (one), l (lowercase L) and I (capital i)
- 5 and S; 8 and B; 2 and Z
- "rn" and "m": Corner can be misread as Comer
Know the rules of the code. If a field allows only digits, a letter is a warning sign: SN-4O71 almost certainly means SN-4071.
A method for comparing
- Read the instructions. "Exactly the same" means every character, including spaces and punctuation. "Smith, J.R." and "Smith, J. R." are different.
- Know your source. Treat the original document as correct. Never check a copy against another copy.
- Chunk long items. Compare 7302 9914 0586 in groups of 3 or 4 characters, one group at a time.
- Go field by field. Keep your place with a finger, a ruler or the cursor.
- Check the small things. Numbers, units, initials and short words like Mon and Thu are easy to skip.
- Decide and move on.
Two people can do a read-back check: one reads the source aloud while the other follows the copy. Errors that one person reads past are more likely to be caught. When you enter data yourself, enter it and then read it back against the source in small groups.
Speed and accuracy
Work out your time per question at the start. With 25 questions in 15 minutes, you have 900 seconds ÷ 25 = 36 seconds per question. Speed alone does not pass a test: with a pass mark of 80%, you need at least 24 of 30 correct, however fast you finish.
The Public Service Commission of Canada advises candidates to read questions carefully, manage their time and leave time to review their answers. In its supervised online tests, a timer shows the time left, and the computer closes the test when the time is up. You can mark a question for review, and marking does not affect your score. If you need accommodation measures, tell the person who invites you to the test as early as possible; measures are tailored to your situation.
Lesson 2: Comparing records and checking data entry
Small data-entry errors cause real problems. A wrong employee ID can send pay to the wrong person. One wrong letter in an email address means the message never arrives. Checking records is careful, patient comparison.
Compare field by field
Do not glance at a whole row and decide it "looks right". Compare one field at a time. Read names letter by letter: McAllister, MacAllister and McAlister are three different names. Read numbers in groups: 780 / 555 / 0142. Check numbers and units inside descriptions, such as 600 mm and 900 mm.
| Field | Source | Copy | Match? |
|---|---|---|---|
| Name | Leila Haddad | Leila Hadad | No (omission) |
| Phone | 780-555-0142 | 780-555-0142 | Yes |
| Postal code | T5J 3N4 | T5J 3N4 | Yes |
| Order no. | 66120 | 66210 | No (transposition) |
Counting differences
To count different characters, compare position by position. BX-3092-RT and BX-3029-PT differ in 3 characters: the 9 and 2 are swapped (2 characters), and R has become P (1 character). To count matching rows, find the rows with an error and subtract them from the total.
Order, duplicates and missing records
- Order: check each entry against the next one. The out-of-place entry is the one that, if removed, leaves the rest in order.
- Duplicates: two rows that match in every field (same person, same company, same time) are probably a duplicate. The same person at a different time is a second visit.
- Missing records: count the rows and compare with the source.
Record counts and control totals
A batch of records often comes with a header such as "5 records, total $1,000.00". Count the rows and add up the amounts. If the count matches but the total does not, look for a wrong amount. If the difference divides evenly by 9 (9, 18, 27, 36, 90…), two digits may have been swapped: 63.00 entered as 36.00 makes a difference of 27.
Practical exercise: check a data-entry batch
A clerk entered six customer payments from paper slips. Compare the entered values with the source and answer the questions.
| Record | Customer no. (slip) | Customer no. (entered) | Amount $ (slip) | Amount $ (entered) |
|---|---|---|---|---|
| 1 | C-10482 | C-10482 | 250.00 | 250.00 |
| 2 | C-10517 | C-10571 | 87.40 | 87.40 |
| 3 | C-10533 | C-10533 | 412.00 | 421.00 |
| 4 | C-10560 | C-1060 | 39.95 | 39.95 |
| 5 | C-10602 | C-10602 | 120.50 | 120.50 |
| 6 | C-10619 | C-10619 | 75.00 | 775.00 |
Which records were entered incorrectly?
Visa svar
Records 2, 3, 4 and 6. Records 1 and 5 match in both fields.
Name the type of error in each wrong record.
Visa svar
Record 2: transposition (C-10517 became C-10571). Record 3: transposition (412.00 became 421.00). Record 4: omission (C-10560 became C-1060, a 5 is missing). Record 6: duplication (75.00 became 775.00, the 7 was typed twice).
What is the total of the slips, and what is the total entered?
Visa svar
Slips: $984.85. Entered: $1,693.85. The entered total is $709.00 too high.
Record 3 is out by $9.00. Why is that a useful clue?
Visa svar
A difference that divides evenly by 9 often means two digits were swapped. 421 − 412 = 9.
Lesson 3: Addresses, postal codes and codes
A wrong digit in an address or a code can send a parcel to the wrong city or the wrong part to a job site. Canada Post publishes clear rules that make addresses easy to check.
Canada Post's address rules
A Canadian address has three lines: the addressee (first line), the civic address (second line), and the municipality, province or territory and postal code (third line). Mail to the United States or another country adds the country name on a fourth line.
- Write in uppercase (block) letters.
- Do not use the # symbol.
- Put information such as a title or floor before the street address.
- Put a hyphen between the unit, suite or apartment number and the street number: 12-345 MAIN ST.
- Use abbreviations for the street type and direction, such as ST, AVE and SW.
- Put the city, province and postal code on the same line.
- Leave 1 space between the city and province and 2 spaces between the province and the postal code.
- Use a space, not a hyphen, between the two halves of the postal code.
| Line | Example |
|---|---|
| 1 | MR DEV PATEL |
| 2 | 7-1520 ELM ST |
| 3 | SASKATOON SK S7K 2L4 |
Postal codes
Statistics Canada describes the postal code as a six-character code maintained by Canada Post, in the form ANA NAN, where A is a letter and N is a number. The first three characters are the forward sortation area. Check for a hyphen instead of a space, a missing space, a missing character, O instead of 0, and swapped characters: M4B 1B3 entered as M4B B13 is a transposition.
Province and territory symbols
| Province or territory | Postal symbol | Traditional abbreviation |
|---|---|---|
| Alberta | AB | Alta. |
| British Columbia | BC | B.C. |
| Manitoba | MB | Man. |
| New Brunswick | NB | N.B. |
| Newfoundland och Labrador | NL | N.L. |
| Northwest Territories | NT | N.W.T. |
| Nova Scotia | NS | N.S. |
| Nunavut | NU | (none) |
| Ontario | ON | Ont. |
| Prince Edward Island | PE | P.E.I. |
| Québec | QC | Que. |
| Saskatchewan | SK | Sask. |
| Yukon | YT | Yk. |
Use the two-letter postal symbols in mailing addresses. They are the same in English and French. The traditional abbreviations are for places such as tables and forms where space is short, not for addresses. Also check that the city and the province agree: a Regina address marked MB is wrong, because Regina is in Saskatchewan (SK).
Phone numbers and other codes
The Canada.ca style guide writes phone numbers with hyphens, and an extension as "ext.", for example 613-999-9900 ext. 123. Compare phone numbers in three groups: area code, the next three digits, then the last four.
For part numbers, serial numbers and licence plates, compare group by group (PX / 20B / 7741 / Q) and watch for look-alike characters. If you know a code's rules, use them: a letter where only digits are allowed is a sure sign of an error.
Practical exercise: fix the mailing labels
Each label breaks one rule from this lesson. Find the problem and write the corrected line.
| Label | Line 1 | Line 2 | Line 3 |
|---|---|---|---|
| A | MR TOMAS RUIZ | #3-410 BIRCH RD | KELOWNA BC V1Y 5R2 |
| B | MS NOOR ALI | 22-95 PORTAGE AVE | WINNIPEG MB R3B-2K9 |
| C | Ms Hana Sato | 1200 Main St | Moncton NB E1C 1H4 |
| D | MR LUC GAGNON | 18-300 KING ST W | HAMILTON QC L8P 4R5 |
Label A
Visa svar
Line 2 uses the # symbol. Correct: 3-410 BIRCH RD.
Label B
Visa svar
The postal code has a hyphen. Correct: WINNIPEG MB R3B 2K9.
Label C
Visa svar
It is not in capital letters. Correct: MS HANA SATO / 1200 MAIN ST / MONCTON NB E1C 1H4.
Label D
Visa svar
Hamilton is in Ontario, so the province symbol should be ON, not QC.
Lesson 4: Invoices, orders and schedules
Checking an invoice is careful matching plus simple arithmetic. Work through it in the same order every time.
- Check the supplier, invoice number and date. Has this invoice already been paid?
- For each line, check quantity × unit price = line total.
- Add the line totals and compare with the subtotal.
- Check the tax at the rate shown on the invoice.
- Check that total = subtotal + tax.
- Match the invoice with the purchase order (what was ordered, at what price) and the packing slip (what was received).
| Item | Qty | Unit price ($) | Line total ($) |
|---|---|---|---|
| Pens (box) | 20 | 1.35 | 27.00 |
| Notepads | 8 | 3.90 | 31.20 |
| File folders | 15 | 0.80 | 12.00 |
| Subtotal | 70.20 | ||
| Tax (5%) | 3.51 | ||
| Total | 73.71 |
Common invoice errors are swapped digits (75.20 instead of 72.50), decimal slips (tax of $1.80 instead of $18.00), and billing for more than was received. When you find a difference, work out how much it is worth: 3 extra units at $54.00 is $162.00.
Duplicates and due dates
Two invoices with the same supplier, invoice number and amount are probably a duplicate: pay only once. Two bills from the same supplier with different numbers and dates are separate bills.
Payment terms such as "Net 30" mean the full amount is due 30 days after the invoice date. Count the days; do not just add a month. An invoice dated 2026-01-20 with Net 30 is due on 2026-02-19.
What GST/HST documents must show
The federal Input Tax Credit Information (GST/HST) Regulations set what a business needs on supporting documents, such as invoices, to claim input tax credits. The details required depend on the total amount.
| Total | Required details include |
|---|---|
| Under $100 | The supplier's name, the invoice date (or date the tax was paid or payable), and the total amount paid or payable |
| $100 to under $500 | Everything above, plus the supplier's GST/HST registration number and the tax amount (or a statement that tax is included) |
| $500 or more | Everything above, plus the buyer's name, the terms of payment, and a description of each item clear enough to identify it |
Checking schedules
- Hours: end time minus start time. A shift from 22:00 to 06:00 crosses midnight: 2 hours + 6 hours = 8 hours.
- 24-hour clock: 13:00 is 1 pm, 19:00 is 7 pm and 00:00 is midnight.
- Day and date: check that they agree. 2026-10-19 is a Monday, so "Tuesday, 2026-10-19" is wrong.
- Overlaps: two bookings overlap if one starts before the other ends. A booking that ends at 10:30 does not overlap one that starts at 10:30.
- Gaps: for 24-hour coverage, each shift must start when the one before it ends.
- Rules: count each person's shifts or hours and compare with the limit.
Practical exercise: check a supplier invoice
Compare the invoice with the purchase order (PO) and the packing slip. The invoice shows a subtotal of $868.40 and tax at 5%.
| Item | PO qty | Received | Invoiced qty | Unit price ($) | Line total ($) |
|---|---|---|---|---|---|
| Cable ties (bag) | 30 | 30 | 30 | 4.20 | 126.00 |
| Extension cord | 10 | 10 | 10 | 18.80 | 188.00 |
| Work light | 6 | 6 | 9 | 54.00 | 486.00 |
| Duct tape (roll) | 24 | 24 | 24 | 3.60 | 68.40 |
Which line total does not equal quantity × unit price?
Visa svar
Duct tape: 24 × $3.60 = $86.40, not $68.40 (the 8 and 6 are swapped).
Which item is billed for more units than were received, and by how much money?
Visa svar
Work light: 9 billed but 6 received, so 3 × $54.00 = $162.00 too much.
What should the subtotal be if you pay only for what was received?
Visa svar
$126.00 + $188.00 + $324.00 + $86.40 = $724.40.
What are the correct tax (5%) and total?
Visa svar
Tax: $724.40 × 0.05 = $36.22. Total: $760.62.
By how much is the invoice subtotal overstated?
Visa svar
$868.40 − $724.40 = $144.00.
Practical exercise: check a security schedule
The site needs one guard on duty 24 hours a day. Check the hours listed and the coverage.
| Day | Guard | Start | End | Hours listed |
|---|---|---|---|---|
| Mon | Patel | 06:00 | 14:00 | 8 |
| Mon | Roy | 14:00 | 22:00 | 8 |
| Mon | Wong | 22:00 | 06:00 | 8 |
| Tue | Patel | 06:00 | 14:00 | 8 |
| Tue | Roy | 14:00 | 21:00 | 8 |
| Tue | Wong | 22:00 | 06:00 | 8 |
Which row has the wrong number of hours?
Visa svar
Tuesday, Roy: 14:00 to 21:00 is 7 hours, not 8.
Is there a gap in coverage? When?
Visa svar
Yes. On Tuesday no one is on duty from 21:00 to 22:00, between Roy's and Wong's shifts.
How many hours were actually scheduled over the two days?
Visa svar
Five shifts of 8 hours plus one of 7 hours: 40 + 7 = 47 hours (not the 48 listed).
Lesson 5: Proofreading notices, emails and forms
The Government of Canada's Language Portal describes revision as the full range of improvements to a document. Proofreading is narrower: a final check, before a document goes out, for omissions, grammar mistakes and typographical errors. It includes checking numbers, names and titles, place names and addresses, and format.
How to proofread
- Compare with the source first. Check every date, time, price and name against the approved information.
- Read slowly, word by word. Point at each word or read quietly aloud. Your brain fills in missing words and skips repeated ones.
- Do separate passes: one for words and spelling, one for numbers, dates and names, and one for format.
- Check consistency. A name, a time or a room number must be the same everywhere it appears, and each day must match its date.
Common errors
| Error | Wrong | Right |
|---|---|---|
| Repeated word | in the the lunchroom | in the lunchroom |
| Missing word | Please sure to sign in. | Please be sure to sign in. |
| Misspelling | seperate, recieve, definately, neccessary | separate, receive, definitely, necessary |
| Word confusion | Lock you're locker. | Lock your locker. |
| Capital letters | closed on canada day | closed on Canada Day |
Learn the pairs that spell checkers miss: your (belongs to you) and you're (you are); its (belongs to it) and it's (it is); their (belongs to them), there (a place) and they're (they are); affect (a verb: to change or influence) and effect (usually a noun: a result); week and weak.
Use a capital letter at the start of a sentence and for names of people, places, organizations, days, months and holidays.
Canadian spelling
The Language Portal gives these Canadian forms: colour, labour, honour; centre, and metre for the unit (a meter is a measuring device); licence as a noun and license as a verb; practice as a noun and practise as a verb; travelled, labelled; and organize, analyze.
Canada.ca style for dates and numbers
- Write dates without "st", "nd", "rd" or "th": April 7, not April 7th.
- Use the numeric format yyyy-mm-dd only when space is limited, such as in a table, and explain the format nearby.
- Write out numbers zero to nine; use digits for 10 and over, and when comparing amounts.
- Use digits for times, dates, addresses and phone numbers.
- Avoid starting a sentence with a number.
- Write times like 4:30 pm, and ranges with "to": 9 am to 5 pm.
Draft notice: "All staff: There will be a mandatory safety meeting on Tuesday, October 19, 2026, from 2 pm to 4 pm in Training Room B. Please be sure to bring you're ID card. If you cannot attend, contact Gurpreet Sandhoo before the the meeting."
Practical exercise: proofread a meeting notice
Compare the draft notice above with the approved details, then proofread it.
| Approved detail | Value |
|---|---|
| Day and date | Monday, October 19, 2026 |
| Time | 2 pm to 3 pm |
| Room | Training Room B |
| Contact | Gurpreet Sandhu |
Which details in the draft do not match the approved details?
Visa svar
The day (Tuesday should be Monday), the end time (4 pm should be 3 pm) and the contact's surname (Sandhoo should be Sandhu). The room is correct.
What other errors does the draft contain?
Visa svar
"you're" should be "your", and "the the" repeats a word.
How many errors are there in total?
Visa svar
5: Tuesday, 4 pm, you're, Sandhoo and the repeated "the".
Write the corrected notice.
Visa svar
All staff: There will be a mandatory safety meeting on Monday, October 19, 2026, from 2 pm to 3 pm in Training Room B. Please be sure to bring your ID card. If you cannot attend, contact Gurpreet Sandhu before the meeting.
